Who we are and how to contact us about privacy

Arcesso LLC is a US software and AI development company headquartered at 1320 Ellis Rd S, Jacksonville, FL 32205, with an office at 2008 Westmoor Pl, Arlington, TX 76015. Arcesso LLC is responsible for the personal data described in this policy, which covers the website arcesso.ai and the ways you contact us through it.

This policy does not cover the software Arcesso builds for clients. Data inside a client project is handled under that client's contract and our AI Use and Data Policy at /legal/ai-use/.

For any privacy question or request, email info@arcesso.ai with the subject "Privacy request", or call +1 (754) 423-0349. We reply within one business day to confirm receipt. This page explains our practices in plain English; it is not legal advice.

Data you give us through the contact form and booking

When you fill in the contact form, Arcesso collects the details you choose to give: your name, work email, company, phone number if you add it, what you need, budget and timeline ranges, how you heard about us, your message and any file you upload. We use this to reply, prepare for a call and send a proposal or NDA if you ask.

When you book a call, the booking is handled by Calendly, which collects your name, email, chosen time and any answers to booking questions, and sends them to us. Calendly processes that data under its own privacy policy.

We store enquiries in our customer relationship management (CRM) tool so the team can follow up and avoid asking you the same thing twice. We do not add you to a marketing list unless you ask.

Analytics, cookies and server logs

Arcesso uses analytics to learn which pages help visitors and which do not. In the European Economic Area, the United Kingdom and Switzerland, analytics only run after you accept them in the consent banner. In the United States, analytics run by default, and you can turn them off through "Your privacy choices". We honor Global Privacy Control signals from your browser as an opt-out.

Analytics data is aggregated and is not used to identify you. We do not send names, emails or form answers to analytics tools, and we do not use person-level visitor identification tools.

Our hosting provider keeps standard server logs, including IP address, browser type, pages requested and time, to keep the site secure and working. Details on cookies are in our Cookie Policy at /legal/cookies/.

Why we use your data and who receives it

Arcesso uses personal data only to answer you, run the website and meet legal duties. Where GDPR or UK GDPR applies, our legal bases are your consent (analytics), steps you ask us to take before a contract (replying to an enquiry or booking), our legitimate interest in running and securing the site, and legal obligations.

We share data only with service providers that help us run the business, under contracts that limit their use of it:

  • Website hosting and server logs.
  • Calendly, for call booking.
  • Our CRM and email providers, for replies and follow-up.
  • Analytics, only as described above.
  • Professional advisers or authorities, when the law requires it.

We do not sell or share personal data for advertising

Arcesso does not sell personal data, and does not share it for cross-context behavioral advertising, as those terms are used in the California Consumer Privacy Act. We have not done so in the past 12 months. The site does not run third-party advertising cookies or ad pixels at launch.

If that ever changes, we will update this policy first, ask for consent where the law requires it, and keep honoring Global Privacy Control as an opt-out.

Some service providers are based in, or store data in, countries outside your own, including the United States. Where GDPR or UK GDPR applies, we rely on recognized transfer safeguards such as the EU Standard Contractual Clauses, the UK Addendum or the provider's certification under the EU-US Data Privacy Framework.

How long we keep personal data

Arcesso keeps personal data only as long as it is needed for the purpose it was collected for, then deletes or anonymizes it. The periods below are our standard practice; a legal duty or an open dispute can require us to keep some records longer.

DataHow long we keep it
Enquiries that do not become projectsUp to 24 months after our last contact
Client contact and contract recordsFor the contract, then as long as tax and legal rules require
Uploaded files from the contact formDeleted within 12 months unless a project starts
Booking records in CalendlyUp to 24 months after the call
Server logsUp to 90 days, unless needed to investigate a security issue
Analytics dataUp to 14 months, in aggregated form

Your privacy rights and how to use them

Depending on where you live, you may have the right to know what personal data Arcesso holds about you, get a copy, correct it, delete it, object to or limit its use, and withdraw consent at any time. California residents have the rights in the CCPA, including the right to know, delete, correct and opt out of sale or sharing, and the right not to be treated differently for using them. People in the EEA and the UK have the rights in the GDPR and UK GDPR, including data portability and the right to complain to a data protection authority.

To use a right, email info@arcesso.ai with the subject "Privacy request". We will verify your identity in a proportionate way and respond within the time the law sets, usually 30 to 45 days. You may use an authorized agent where the law allows.

Security, children's data and changes to this policy

Arcesso protects personal data with encryption in transit, access limited to the people who need it, multi-factor authentication on our business tools and server-side checks on the contact form. No system is perfectly secure, and if a breach affects your data, we will notify you and regulators as the law requires.

The website is meant for businesses and is not directed to children under 16. We do not knowingly collect their personal data, and we delete it if we learn we have.

We will update this policy when our practices change and show the new effective date at the top of the page. For significant changes, we will make the update clear on the site before it takes effect.
