Automations we ship for growing businesses
Arcesso builds automations that remove copy-and-paste work between the tools your team already uses. The best first candidates are tasks that happen many times a week, follow a pattern and annoy the people who do them.
Each automation starts with a short map of the current process and a count of how often it runs. That count becomes the baseline. After launch we report hours saved and error rates against it, so you can decide what to automate next with real numbers.
- Lead intake: capture form and email leads, enrich them, score them with an LLM step and route them to the right rep.
- Support: tag and prioritize tickets, draft first replies and escalate urgent cases to Slack.
- Finance operations: extract invoice fields, match them to records and prepare entries for review.
- Reporting: pull numbers from several tools into one weekly summary written in plain English.
n8n vs Zapier vs Make for AI automation
Arcesso builds on n8n first because you can self-host it, inspect every step and avoid per-task fees as volume grows. Make is a good second choice for visual scenarios with moderate volume. Zapier is the fastest to start but gets costly and limited for complex AI workflows.
We do not force a migration. If your Zapier setup works and the bill is fine, we add to it. Our blog post on n8n vs Zapier vs Make covers the trade-offs in more detail.
Whichever platform you choose, Arcesso sets it up in your own account, keeps workflow exports in your repository and documents every credential and trigger. That way a platform price change or a vendor exit never leaves you stuck with workflows nobody can read or rebuild.
| n8n | Make | Zapier | |
|---|---|---|---|
| Hosting | Self-hosted or cloud | Cloud only | Cloud only |
| Pricing model | Per execution or free self-hosted | Per operation | Per task |
| Complex branching and code | Strong, with code nodes | Good | Limited |
| AI and LLM steps | Native AI nodes and agents | AI modules | AI actions |
| Best for | High volume, data control, AI workflows | Visual mid-volume scenarios | Quick, simple connections |
Where LLM steps belong in a workflow
Arcesso adds an LLM step only where a fixed rule cannot do the job. Rules cost less to run, are faster and are easier to test. A language model earns its place when the input is messy, such as free-text emails, scanned documents or call notes.
Typical LLM steps classify a request, extract fields, draft a reply or summarize a long thread. Each one gets a small eval set of real examples so we can measure accuracy before launch and spot drift after a model update.
We keep a person in the loop for anything that sends money, emails customers or changes records, until the numbers show the step is reliable. Model calls run through your own OpenAI, Anthropic or Google accounts with no-training settings where the vendor offers them. When an automation needs to reason across several steps and tools, it becomes an AI agent, and we will say so.
AI automation for small and mid-size businesses
Arcesso works with startups and companies of roughly 5 to 500 people that have outgrown spreadsheets and manual handoffs. You do not need a data team or an IT department to start. You need one process that wastes time every week and a person who owns it.
Small teams usually see the biggest relative gain because a few hours a week is a real share of each person's time. A first automation is scoped to go live in about two weeks, so you see the result before committing to a larger program.
Arcesso is not the right choice if you need a one-off Zap built for a few dollars. A freelancer or the platform's own templates will serve you better. We are a fit when the automation touches customer data, money or several systems and needs to keep working.
What AI automation costs and how the audit works
Arcesso starts most automation work with a fixed-price automation audit. We review the tools you use, the processes that repeat and what you already have running. You get a ranked list of automations, each with an estimated build effort, monthly running cost and hours saved.
Build cost depends on the number of systems, data quality and how many LLM steps are involved. Running cost covers the platform, hosting and model usage, and we show it per month before you approve a build.
Arcesso publishes its prices: a single workflow is built from $3,200, connected multi-app automations run $5,900 to $22,500, and the care plan is $225 per month per system, each set 5–10% below the comparable market figures on our pricing page. The audit fee is credited in full to the build.

FAQ
Questions buyers ask us
What does an AI automation agency do?
An AI automation agency builds workflows that move data between your apps and use AI where judgment is needed. Arcesso maps the process, builds it in n8n or Make, adds LLM steps for tasks like sorting emails or drafting replies, and monitors it after launch. Most first automations go live in about two weeks.
Why do you build on n8n instead of Zapier?
Arcesso prefers n8n because you can self-host it, inspect every step and avoid per-task fees as volume grows. n8n also handles branching, code and AI steps well. Zapier is fine for simple, low-volume connections, and we will extend a working Zapier setup instead of forcing a migration you do not need.
How long does it take to automate a workflow?
A first Arcesso automation usually goes live in about two weeks, including a one-week audit and one to two weeks of build and testing. Larger programs with several connected workflows typically take 4 to 8 weeks. Kickoff happens within 14 days of signing, and you see working demos every week.
How much does AI automation cost?
Arcesso builds a single automation workflow from $3,200 and connected multi-app automations for $5,900 to $22,500, with a $225 per month care plan per system. Cost depends on the number of systems, data quality and LLM steps, and the audit fee is credited in full to the build. Every estimate also shows monthly running costs for the platform, hosting and model usage before you approve.
Do we own the workflows after the project ends?
Yes. You own 100% of the workflows, code and documentation from the first commit, in writing. Arcesso builds in your n8n, Make and model accounts, so nothing has to be transferred at the end. If you stop working with us, your team or another vendor can pick up every workflow.
Can you fix or migrate automations we already have?
Yes. Arcesso audits existing Zapier, Make and n8n setups, fixes broken or fragile steps and adds error alerts so failures reach a person. We migrate to n8n when task fees or limits justify it, and run old and new workflows side by side during the switch so nothing is missed.
Is AI automation worth it for a small business?
AI automation is usually worth it when one task repeats many times a week and costs a person several hours. Arcesso works with companies of roughly 5 to 500 people and measures hours saved against a baseline. If the task is rare or simple, we will suggest a template instead of a custom build.
