What an AI voice agent does on your phone line
An AI voice agent answers the phone, understands what the caller wants and acts on it in real time. Arcesso builds agents that greet callers in your business name, answer common questions from your approved content, book or move appointments and take messages with the right details.
The agent listens with speech-to-text, decides with a language model and speaks with a natural synthetic voice. It connects to your calendar, CRM or practice software through approved tools, so a booking made on the phone appears where your staff already look.
When a caller is upset, asks for a person or raises something urgent, the agent transfers the call or sends an alert with a summary. The aim is not to replace your front desk. The aim is that no call goes to voicemail after hours, during lunch or when every line is busy.
AI voice agent vs answering service vs phone menu
An AI voice agent books and answers on every call, while a phone menu only routes and an answering service only takes messages in most cases. Each has a place, and some businesses keep a human service for complex calls while the AI agent handles the routine ones.
Arcesso is not the right choice if most of your calls are long, emotional or legally sensitive conversations that need a trained person. In that case, the agent should only handle overflow and after-hours calls, or a human service is the better buy.
A common starting point is overflow and after-hours only. Your staff keep answering during the day, the AI agent catches every call they miss, and you compare booked appointments before and after. That gives you a clear number to judge the agent by before it handles more of your calls.
| Phone menu (IVR) | Human answering service | AI voice agent | |
|---|---|---|---|
| Available 24/7 | Yes | Depends on plan | Yes |
| Understands free speech | Limited | Yes | Yes |
| Books into your calendar | No | Sometimes, manually | Yes, directly |
| Handles many calls at once | Yes | Limited by staff | Yes |
| Best for | Simple routing | Complex or sensitive calls | Routine questions, booking and qualification |
AI receptionist for clinics, home services and legal intake
Arcesso tailors AI receptionists to the call patterns of each vertical, because a dental clinic, a plumbing company and a law firm hear very different questions.
- Clinics: new patient intake, appointment booking and changes, office hours and directions, with clinical questions routed to staff. Health data is handled with care and masked before model calls where possible.
- Home services: job intake with address and problem details, emergency triage that pages the on-call technician, and quote follow-ups.
- Legal intake: first-contact screening against your practice areas, conflict-check details and consultation booking, with no legal advice given by the agent.
- Service businesses and government portals: status questions, appointment booking and form guidance, the same use cases Arcesso already markets on arcesso.ai for eVisa and citizen portals.
The voice stack we build on: Vapi, Retell, LiveKit, ElevenLabs and Twilio
Arcesso picks the voice platform per project based on latency, call volume, control and cost. Vapi and Retell are hosted voice agent platforms that get a receptionist live fast. LiveKit is an open-source real-time framework we use when you need full control or self-hosting. ElevenLabs provides natural voices, and Twilio provides phone numbers, call routing and SMS.
The reasoning layer runs on OpenAI, Anthropic Claude or Google Gemini, chosen with test calls on your real scripts. We measure response delay on every build, because a pause of more than a second or two makes callers talk over the agent.
You own the phone numbers, platform accounts, prompts and call data. If a platform changes its pricing or terms, the agent logic and test calls move with you to another provider.
Call logging, evals, escalation and recording consent
Arcesso logs and scores every call so you can see what the agent said and why. Each call gets a transcript, a summary, an outcome tag such as booked, transferred or message taken, and a quality score against your script.
Before launch we run a set of test calls covering common requests, edge cases and angry callers. The same set runs again after any change to prompts, voices or models, so a regression is caught before your customers hear it.
Recording and outbound calling are regulated, and the rules differ by state and call type. Arcesso builds consent prompts, opt-out handling and disclosure that the caller is speaking with an AI into the flow, and we recommend you confirm the setup with your own counsel. Escalation rules send urgent or sensitive calls to a person with the summary attached.
What an AI voice agent costs to build and run
AI voice agent cost has two parts: the build and the per-minute running cost. Build cost depends on how many call types the agent handles, which systems it books into and how much testing your industry needs.
Running cost is usage-based. It combines the voice platform, speech, the language model and phone minutes from the carrier, and it changes with call volume and call length. Arcesso shows expected monthly running cost at your current call volume before you approve a build.
Arcesso publishes its prices: a done-for-you AI receptionist is set up from $2,250, with plans at $399 per month for 500 minutes, $699 for 1,500 and $1,299 for 3,500, plus $0.32 per extra minute, all 5–10% below comparable done-for-you offers. For common receptionist use cases we start from the AI receptionist product already offered on arcesso.ai rather than building from zero. Ask to hear a demo call first.

FAQ
Questions buyers ask us
How long does it take to set up an AI receptionist?
A first Arcesso AI receptionist is usually live in 2 to 3 weeks, including call review, build and test calls. Simple inbound booking can be faster, especially when we start from the AI receptionist product already on arcesso.ai. Outbound calling or several connected systems take longer. Kickoff happens within 14 days of signing.
Which voice platform do you use: Vapi, Retell or LiveKit?
Arcesso chooses between Vapi, Retell and LiveKit per project, based on latency, call volume, control and running cost. Vapi and Retell are hosted platforms that launch quickly. LiveKit suits teams that need full control or self-hosting. ElevenLabs provides voices and Twilio provides phone numbers and routing in most builds.
Will callers know they are talking to an AI?
Arcesso recommends that every voice agent tells callers it is an AI assistant at the start of the call, and builds that disclosure into the flow. Callers can ask for a person at any time. Rules on disclosure, recording and outbound calls vary by state, so we suggest confirming the setup with your counsel.
Can the AI voice agent transfer calls to my staff?
Yes. Every Arcesso voice agent has written transfer rules for urgent calls, upset callers, sensitive topics and direct requests for a person. The call transfers live to the right number or sends an alert with a summary, so your team never has to ask the caller to repeat themselves.
How much does an AI voice agent cost to run?
AI voice agent running cost is usage-based and combines the voice platform, speech, the language model and phone minutes. The total depends on call volume and call length. Arcesso shows the expected monthly running cost at your current volume before you approve the build, and the build itself is a fixed price.
Does the AI receptionist work with our booking software?
Arcesso connects AI receptionists to calendars, CRMs and practice or job management systems through their APIs, so bookings appear where your staff already work. Common targets include Google Calendar, Outlook, HubSpot and industry scheduling tools. If your system has no API, we can fall back to structured messages for staff to confirm.
Is Arcesso's AI receptionist a product or a custom build?
Both. Arcesso already markets an AI voice receptionist and AI appointment booking product on arcesso.ai for service businesses, startups and government portals. When your needs fit that product, we tailor it. When you need custom call flows, integrations or your own platform accounts, we build a dedicated voice agent that you own.
